The following figure shows a project hierarchy and that an affiliation can have many projects and  that each project can have specific collaborating affiliations. A project is an umbrella for managing experiments and individuals that are assigned to or allowed access to the project, to samples and their data  and to any data from the set of experiments or studies performed on the samples. Linked to projects are project notes (not shown) and linked to an Experiment are the specific set of samples and the SOPs for analyzing samples and data, which includes experimental parameters, measurements and results.

 

 

The following are screen captures of  data entry forms for projects. The top form is used to create a new project and to update existing projects. An affiliation is selected from the list of affiliations that have been already been entered into the system and the list box contains an entry to hyperlink to adding a new affiliation if required. The account can be any type of internal company account or a grant ID. Each project has a title, a description, a start date and a sequence of status conditions and dates such as for new, scheduled, active , finished and canceled. 

Every project has a number of individuals assigned to it. Some will be from the primary laboratory; others will be contacts and collaborators. Contacts could be those who supply the samples or those who manage the grants or accounts. A collaborator could be from supporting laboratories and/or other researchers who are not part of the primary laboratory. The design of the system is to ensure that only those individuals that are assigned to the project have access consistent with their allowed privileges. That is, some may be able to enter and edit data while others can only review summarized results.  This type of approach is important when applying for patents and for writing journal articles.

 

Project notes are intended to apply to the whole project and can be entered at any time and the name of the author is the person who has logged into the system and has privileges enabling them to add notes. Each note has a Date-Time stamp, ID and Name of author. In addition, once a note has been added to the system it cannot be deleted or modified. There may be options to provide a cross-out feature which would be analogous to crossing out notes in a written lab notebook.

 Additionally notes, which have the same non-delete implementation, can be added directly to experiments and to individual experimental results such as for  specific peaks in a mass spectrum, bands in a gel and features in an image or picture.
